Modern office setting Growth opportunities Position Summary The primary role of the Executive Personal Assistant is to increase his effectiveness and productivity by doing as many tasks as possible that free him up to concentrate on strategic and high-value-added activities.
More than an administrative assistant, the Executive Personal Assistant understands the President's agenda and expectations and coordinates, organizes, and assists him in completing his tasks.
The Assistant acts as an administrative secretary handling traditional responsibilities such as correspondence, filing, scheduling, and booking travel arrangements.
Key Duties and
Responsibilities:
Complete assigned projects and ensure deadlines are met.
This may include but not be limited to collecting data, analysis, summarization, reporting, and recommendations.
Defining, documenting, and improving business processes.
Special projects as assigned.
Manage all correspondence and screen calls, emails, and visitors Plan, coordinate, and schedule meetings, appointments, calendars, events activities, etc.
Manage and book travel arrangements.
Manage expenses- review, approve, and assign appropriate account numbers to credit card bills, expense statements, and other invoices.
Manage confidential company and personal information, personnel files, manufacture sales and service agreements, key corporate contracts and agreements, related entity records, expenses, and invoices.
Assist the President and his/her family on personal tasks:
such as transporting children, personal shopping, childcare, miscellaneous errands, or similar related personal matters Assist the President's involvement on community boards and committees.
Qualifications Required:
Bachelor's degree in Business Administration, Hospitality, Marketing, or similar related degree required.

years of Administrative Support experience assisting a C-level executive.
Proficient in Microsoft Office Suite.
Notary Public preferred.
Ability to directly supervise people, including hiring, motivating, directing, and developing skills and abilities.
Excellent communication skills- verbal and written.
A strong understanding of confidentiality and the ability to handle sensitive materials and conversations.
Excellent administrative knowledge- typing, dictation, and proofreading skills.
Strong multitasking abilities, detail-oriented and self-motivated.
Working Conditions:
Extended periods of computer screen viewing.
Extended periods of sitting.
Extended periods of standing.
This is an in-office position.
Physical requirements Prolonged periods of sitting at a desk and working on a computer.
Must be able to lift up to 15 pounds.
